Play:Disrupt Consultation with Adults and Young People for Castle Park development
Play:Disrupt (trading name of Mufti Games Ltd) Unit 14, Easton Business Centre, Bristol, BS50HE (“we”, “us” or “our”) is committed to protecting your information and acting in accordance with your rights under data protection laws. This Data Protection Policy sets out how we will use your information.
Scope of this privacy policy
This privacy policy applies to our use of any and all Data collected by us or provided to us by you to us in relation to the in person or online engagement/consultation event you participated in.
This engagement has been commissioned by Bristol City Council for the purposes of understanding the public’s views about Castle Park.
For purposes of the applicable Data Protection Laws, Play:Disrupt is the “data controller”. This means that Play:Disrupt determines the purposes for which, and the manner in which, your Data is processed.
Data collected
Play:Disrupt may collect the following information about you:
a) personal details such as your name, e-mail address (in order to contact you and confirm consent for participation in the engagement, or to share with Bristol City Council and/or Distinctive Communications (this project communications lead) if you would like to be kept updated about the Castle Park project in the future
b) your postcode in order to confirm locations of workshop participants connected to workshops for local communities
c) Equalities characteristics (eight protected characteristics defined in the Equality Act 2010; these are age, sex, disability, ethnicity, religion, sexual orientation, gender reassignment, pregnancy/ recent maternity)
d) Refugee/asylum seeker status
e) non identifiable feedback regarding your opinions, experiences and ideas (collected through the workshop or activity you participate in)
f) photographs of written feedback (collected through the workshop you participate in)
g) other photography, filming, and audio recording which will be covered under a separate media release policy
How we collect this data
Data is provided by you prior to or during the course of the online or in person engagement activity.
Using your information
Personal information that you supply to us may be used in a number of ways, including:
-to help us deliver the activities you take part in
-to help us evaluate the activities you take part in
-to share with Bristol City Council and/or Distinctive Communications (this project communications lead) in order to keep you updated on future developments within Castle Park
-to help us make recommendations to Bristol City Council and LDA Design about the development of Castle Park
-aggregated data such as gender, ethnicity, disability status, postcode will be provided to Bristol City Council in order to help us monitor our intended reach to a wide demographic and to support an inclusive vision for Castle Park. Your data will not be personally identifiable
We will be sharing non-identifiable data collected from workshops with landscape architects LDA Design, commissioned by Bristol City Council to lead on the development of Castle Park, and Bristol City Council.
Storing your information
We will use technical and organisational measures to safeguard your data.
Your personal information will be securely stored by Play:Disrupt and encrypted using SSL and AES technology.
The data that we collect from you may be transferred to, and stored at, a destination inside the European Economic Area (EEA). By providing your personal data, you agree to this transfer, storing or processing. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this policy.
Written data will be securely transported and kept at Play:Disrupt’s locked office. Once this data has been transferred to Play:Disrupt’s database, written data will be securely destroyed.
Data Retention
Unless a longer retention period is required or permitted by law, we will only hold your Data on our systems for the period necessary to fulfil the purposes outlined in this privacy policy.
You may request to have your Data deleted
Names and contact details provided for the purpose of communication or providing consent may be requested to be deleted at any time without giving any reason.
All other data will be non-identifiable. You can request that this information is deleted up to 48 hours after it has been provided without giving any reason. You will need to specify the data you would like us to delete.
Once all data has been aggregated and findings and recommendations have been provided to Bristol City Council, all personal data will be securely deleted.
Your rights as a data subject:
You have the right to ask for access to your data and where data is found to be inaccurate to have that data corrected. In certain circumstances you have the right to have data held about you erased, or the use of it restricted. You may be able to object to processing and may also have the right to have your data transferred to another data controller.
You also have a right of complaint to the Information Commissioner’s Office (ICO) at www.ico.org.uk if you think we have not dealt with your information in a proper manner.
